BUSINESS FUNDING, EXPLAINED
Trucking Fuel Cost & Cash Flow Calculator
Your next load needs fuel. Your last load may not have paid yet. Estimate the fuel spending between those two dates.
Your operating assumptions
No signup needed. Figures stay in this page; they are not saved or submitted. Include loaded and empty miles. Use your expected pump price after discounts.
FUEL CASH-FLOW ESTIMATE
Fuel spending before payment
Fill in all fields to see your estimate. Use 0 for no delay or no allocated cash. Trucks and days must be whole numbers; MPG and fuel price must be positive.
How much fuel cash does your next payment cycle need?
Start with the number of trucks, total weekly miles per truck, average MPG and fuel price. Then add the number of calendar days before freight payment is expected. Include deadhead miles and use the price you actually expect to pay. The calculator works for diesel trucks and gasoline delivery vehicles when you enter the appropriate MPG and price.
The calculation, in plain dollars
- Weekly fleet gallons = trucks × miles per truck ÷ MPG.
- Weekly fuel spending = weekly gallons × price per gallon.
- Fuel cost per mile = price per gallon ÷ MPG.
- Fuel spending before payment = weekly spending × days ÷ 7.
- Uncovered fuel spending = that spending minus allocated cash, with a minimum of zero.
Example: three trucks and a 21-day wait
Hypothetical example: three trucks running 2,000 total miles each per week at 6 MPG use 1,000 gallons weekly. At an invented $4 per gallon, that is $4,000 a week or $12,000 over 21 days. With $3,000 already allocated, $9,000 remains uncovered in this fuel-only scenario. These figures are not market prices, customer results or a financing quote.
Use a current price, not an old headline
The U.S. Energy Information Administration publishes weekly gasoline and on-highway diesel price estimates. They are useful regional reference points; your pump price, discounts and route can differ. This tool does not automatically fetch prices. Enter your own price and update it when planning a new trip.
What this says about funding
A fuel cash gap describes timing. It does not establish whether borrowing makes sense. Other receipts, bill dates and existing collections can change the amount. Use the four-week cash-shortfall planner to include the rest of your business.
If you are exploring a fuel card, line of credit, factoring or an advance, compare the actual fees, collection dates and obligations. Our freight factoring vs. MCA guide explains the different questions. Loan Sweet Loan does not currently promise a dedicated fuel-card or fuel-credit product.
Does lower fuel cost eliminate the gap?
It reduces spending, but bills can still come before customer payments. Test both a lower price and a longer collection delay. If a load loses money after all costs, financing does not fix the rate. Check our deadhead and cost-per-mile example.
